Integrations Overview

Integrations are the foundation of aura's power. By connecting your work platforms, you enable aura to search across all your information sources and automate tasks across multiple systems from a single interface.

What Are Integrations?

Integrations connect aura to your existing work platforms, allowing you to:

  • Search Across Platforms: Find information from all connected sources in one search
  • Automate Actions: Execute tasks like sending emails, creating calendar events, and updating projects
  • Sync Data: Keep your information up-to-date across all platforms
  • Unified Access: Work with all your tools from a single interface

Available Integrations

Currently Available

aura supports the following integrations:

  1. Microsoft 365 - Outlook, Calendar, Teams
  2. Google Workspace - Gmail, Calendar.
  3. Notion - Pages and databases
  4. Atlassian - Jira and Confluence
  5. Slack - Team messaging and files
  6. Todoist - Task management
  7. Documents - Upload and manage your own files

Integration Status Indicators

Understanding the status of your integrations is crucial for ensuring aura works properly. Each integration displays one of the following statuses:

✅ Ready

What it means: The integration is fully functional and working correctly.

What you can do:

  • Search this platform's content
  • Execute actions (send emails, create tasks, etc.)
  • View and interact with data

Indicator: Green badge with checkmark icon

⚠️ Not Connected

What it means: This integration hasn't been set up yet.

What you need to do:

  1. Click "Connect & Configure" button
  2. Follow the setup instructions
  3. Provide necessary credentials or API tokens
  4. Complete the connection process

Indicator: Gray badge

⚠️ Token Expired

What it means: Your authentication token has expired and needs to be refreshed.

Why this happens:

  • API tokens have expiration dates
  • Security policies require periodic re-authentication
  • Credentials were changed on the source platform

What you need to do:

  1. Navigate to the integration's settings page
  2. Update your credentials or API token
  3. Re-authenticate if using OAuth
  4. Verify the status changes to "Ready"

Indicator: Yellow/orange badge with alert icon

⚠️ Not Synced

What it means: The integration is connected but hasn't synced data yet (primarily for email integrations).

Why this happens:

  • Initial sync is still in progress
  • Large amounts of data are being indexed
  • Sync was recently triggered

What you need to do:

  • Wait for the initial sync to complete (usually a few minutes)
  • Check back periodically to see progress
  • Email count will increase as sync progresses

Indicator: Yellow/orange badge

🔄 Ready (Refreshed)

What it means: The integration was recently refreshed and is working properly.

Why you see this:

  • Token was automatically renewed
  • Recent re-authentication was successful
  • System performed a successful refresh

What you can do:

  • Use the integration normally
  • No action required

Indicator: Green badge

Email Count Indicators

For Microsoft Outlook and Gmail integrations, you'll see the number of synced emails displayed:

Understanding Email Counts

Example: "Outlook - 2,547 emails"

What it means:

  • aura has indexed 2,547 emails from your Outlook account
  • These emails are searchable through aura
  • The count updates as new emails arrive

Why it matters:

  • Higher counts mean more comprehensive search results
  • Helps you verify sync is working correctly
  • Indicates the scope of searchable content

Initial Email Sync

When you first connect an email integration:

  1. Status: Shows "Not Synced"
  2. Process: aura begins indexing emails in the background
  3. Progress: Email count increases as sync progresses
  4. Completion: Status changes to "Ready" when done
  5. Duration: Can take several minutes depending on email volume

Ongoing Sync

After initial sync:

  • New emails are automatically indexed
  • Email count updates in real-time
  • No manual intervention required

Managing Your Integrations

Viewing All Integrations

To see all available integrations:

  1. Click "Integrations" in the navigation menu
  2. View the "Available Now" section for active integrations
  3. Check "Coming Soon" for upcoming integrations

Connecting a New Integration

To connect a new platform:

  1. Navigate to the Integrations page
  2. Find the integration you want to connect
  3. Click "Connect & Configure"
  4. Follow the platform-specific setup instructions
  5. Provide required credentials or tokens
  6. Complete the connection process
  7. Return to dashboard to verify "Ready" status

Updating Integration Credentials

If you need to update credentials:

  1. Go to the specific integration's page
  2. Click on the "Settings" tab
  3. Enter new credentials or API token
  4. Click "Update" to save changes
  5. Verify status returns to "Ready"

Disconnecting an Integration

To remove an integration:

  1. Navigate to the integration's page
  2. Go to the "Info" tab
  3. Click "Unlink [Platform Name]"
  4. Confirm the disconnection
  5. You'll be redirected to the Integrations page

Note: Disconnecting removes access to that platform's data and stops syncing.

Integration Best Practices

Keep Tokens Updated

  • Monitor for "Token Expired" status
  • Update credentials promptly when needed
  • Set calendar reminders for token expiration dates
  • Use long-lived tokens when possible (1 year+)

Monitor Sync Status

  • Check email counts regularly
  • Verify "Ready" status for all integrations
  • Address sync issues quickly
  • Allow time for initial syncs to complete

Secure Your Credentials

  • Never share API tokens or passwords
  • Use strong, unique passwords
  • Enable two-factor authentication on source platforms
  • Revoke old tokens when updating

Regular Maintenance

  • Review connected integrations monthly
  • Remove unused integrations
  • Update credentials before expiration
  • Test search functionality periodically

Troubleshooting Integration Issues

Integration Won't Connect

Possible causes:

  • Incorrect credentials
  • Expired API token
  • Insufficient permissions
  • Network connectivity issues

Solutions:

  1. Double-check credentials for typos
  2. Generate a new API token
  3. Verify you have admin/owner permissions
  4. Check your internet connection
  5. Try a different browser

Status Stuck on "Not Synced"

Possible causes:

  • Large data volume taking time to sync
  • Network interruption during sync
  • API rate limiting

Solutions:

  1. Wait longer (initial sync can take 10-15 minutes)
  2. Refresh the page to check for updates
  3. Disconnect and reconnect the integration
  4. Contact support if issue persists

Email Count Not Increasing

Possible causes:

  • Sync is paused or failed
  • No new emails received
  • Token expired during sync

Solutions:

  1. Check integration status for errors
  2. Verify token hasn't expired
  3. Trigger a manual sync if available
  4. Disconnect and reconnect if needed

Search Not Finding Results

Possible causes:

  • Integration not in "Ready" status
  • Sync not completed
  • Search terms too specific
  • Data not yet indexed

Solutions:

  1. Verify all integrations show "Ready"
  2. Wait for email sync to complete
  3. Try broader search terms
  4. Check that data exists in source platform

Security & Permissions

Data Access

aura only accesses data you explicitly grant permission to:

  • Read Access: View and search your content
  • Write Access: Create and update items (when you request it)
  • No Sharing: Your data is never shared with third parties

Permission Inheritance

aura respects permissions from source systems:

  • Only searches content you have access to
  • Maintains folder and file permissions
  • Respects sharing settings
  • Honors access controls

Token Security

Your authentication tokens are:

  • Encrypted in transit and at rest
  • Never exposed in logs or error messages
  • Automatically refreshed when possible
  • Revocable at any time
